Scope and When This Applies

This guide explains how EFVD handles withdrawals, refund questions, Final Tech outcomes, later car reviews, missed events, cancellations, postponements, and registration transfer requests.

All EFVD financial amounts—including fees, payments, deposits, refunds and cash prizes—are in CAD.

In the standard event flow, drivers should not pay registration until the selected car passes Final Tech and EFVD instructs them to pay.

It applies to standard EFVD competitions unless EFVD posts a different event-specific refund or transfer policy before registration opens.

How to Withdraw

Drivers may withdraw, but timing matters. Notify EFVD early so staff can adjust the roster, invite a waitlisted driver, and protect event flow.

Refund Eligibility

Registration payment should happen only after the selected car passes Final Tech and EFVD issues the payment instruction. Payment secures event processing, staff planning, and event operations. It does not guarantee a refund if a driver cannot attend, does not complete requirements, or becomes ineligible.

No automatic refund

Default rule

Withdrawal, an unsuccessful Post-Approval Review, no-show, ban, removal, DQ, or missed deadlines do not automatically create a refund.

Final Tech, Revisions and Later Reviews

A confirmed event registration includes one Final Tech submission before entry payment. If the car does not pass, the driver should not pay registration. The inspector's decision explains the required changes and states whether the Revision fee is required or waived.

After payment, a Post-Approval Review may find an issue with the exact approved version. This does not automatically cancel registration or guarantee a refund. Staff may initiate this discretionary compliance check before, during or after the event.

If You Miss the Event

Missing briefing, qualifying, battles, or the event without staff approval can affect event flow and other drivers. It does not create an automatic refund.

Event Cancellation or Postponement

If EFVD postpones an event, registration usually carries forward to the new date unless EFVD communicates a different plan.

If EFVD cancels an event, EFVD will announce the event-specific handling. It may include a refund, credit, transfer, carry-forward, revised prize handling, or another posted remedy based on event costs, sponsor terms, and payment limitations.

If a driver cannot attend a postponed date, they should notify staff after the new date is announced so EFVD can review the case.

Registration Transfers

Registration transfers are not guaranteed. EFVD may approve, deny, or limit them based on event timing, roster status, technical inspection status, payment records, and competitive integrity.

Prize and Payment Impact

Refund and withdrawal decisions are separate from prize eligibility. A driver who withdraws, misses required steps, does not pass Final Tech or a later required review, is disqualified, is removed or cannot provide payout details may lose prize eligibility.

Cash prizes are paid in CAD through PayPal only. A winner must give EFVD a PayPal email linked to an account that can receive CAD within 14 calendar days after the event finishes. Missing this deadline or failing to provide an eligible account forfeits the prize. EFVD does not offer an alternate payout method.

EFVD will confirm the receiving details with the winner. EFVD will then issue the prize within 14 calendar days. This separate issuance period begins on the date EFVD sends that confirmation.

PayPal processing, holds or account reviews after EFVD issues the payment are outside EFVD's issuance period. An external PayPal delay alone does not forfeit the prize.

How to Request Review

Refund, withdrawal and transfer requests should be handled privately through the official Discord process or another EFVD-approved contact method.

Before You Pay

Drivers should understand the event requirements and refund terms before paying registration. Communicate early, follow the posted process, and do not assume a refund, credit, or transfer exists unless EFVD confirms it.

Event-specific notices posted by EFVD before registration opens can modify this guide for that event.

Policy Changes

Last updated: August 12, 2026. This guide remains effective until EFVD changes it; it does not expire at the end of a season. Staff announce material rule changes through the official EFVD Discord.
